A1 AI — Privacy Policy
Effective date: September 25, 2026 Last updated: September 25, 2026
1. Who we are
A1 AI is operated by A1 Media Marketing LLC, a Texas limited liability company ("A1 Media", "we", "us", "our").
This policy explains what information we collect when you use A1 AI, why we collect it, who we share it with, how long we keep it, and what choices you have.
Privacy contact: support@a1mediamarketing.com Mailing address: 408 Cedar Crest Dr, Coppell, TX 75019
A1 AI is intended for business users in the United States. Information you provide is stored and processed in the United States.
2. The short version
- We collect what you give us (your account details, your business profile, your conversations, and any files you upload) plus basic technical and usage data.
- Your conversations and the business information you provide are sent to a third-party AI provider, Anthropic, to generate responses.
- Authorized A1 Media personnel can read your conversations and business profile for support, safety, and quality. We say this plainly because it is true and because you should know it before you type something sensitive.
- We do not sell your personal information and we do not use your content to advertise to you.
- You can ask us to delete your account and content, and we will.
3. Information we collect
Account information. Your email address, your name, and a password. We never store your password in readable form — it is stored only as a salted cryptographic hash (scrypt), and we cannot recover it.
Business profile. The information you give us about your business during onboarding and afterward: business name, industry or niche, what you sell, your offer, your audience, your goals, and similar fields. You choose what to provide; more complete information produces more useful output.
Conversations. The messages you send to A1 AI and the responses it generates. These are stored so you have a history and so the assistant can remember context between sessions.
Files and knowledge you upload. Documents (including PDF, Word, text, and Markdown files), pasted notes, and images you upload to your knowledge area. We extract text from documents so the assistant can search them.
Connected accounts (optional). If you choose to connect a third-party account such as an advertising or social media account, we access the data that connection permits — for example, campaign performance or post performance metrics — so that Output can reference your real numbers. You control whether to connect, and you can ask us to disconnect at any time. We do not post on your behalf.
Billing information. Your subscription status, plan, and the tags and subscription records associated with your email in our customer relationship management system. We do not collect or store your full payment card number. Card details are handled by our payment processor.
Usage and technical data. Login timestamps, session records, pages and features used, the number and size of AI requests you make, and the computed cost of those requests (we meter usage to enforce fair-use limits). We also process standard server logs, including IP address, for security, abuse prevention, and rate limiting.
Cookies. We use a single essential session cookie to keep you logged in, which lasts up to 30 days. We do not use advertising or cross-site tracking cookies in the product.
What we ask you not to send. Please do not submit government identification numbers, full payment card numbers, health or patient information (including protected health information under HIPAA), or login credentials for other services. A1 AI is not designed to hold that category of information, and we are not a HIPAA business associate.
4. How we use information
We use the information above to:
- create and operate your account and keep you logged in;
- generate AI responses, research, scripts, and other Output for you;
- remember your business context so you do not have to repeat it;
- search your uploaded knowledge and our library to ground responses;
- verify that you have an active subscription and apply the right plan and limits;
- meter usage and enforce daily and monthly fair-use caps;
- provide support, including responding to questions you escalate to a human;
- monitor for abuse, fraud, security incidents, and violations of our Terms;
- improve A1 AI — including reviewing conversations and Output to find quality problems and fix them;
- send you service and account emails (for example, billing, security, and material changes to these policies);
- comply with law and enforce our agreements.
We do not sell your personal information. We do not share your information with third parties for their own advertising. We do not use the content of your conversations to target ads to you.
5. Who we share information with
Our AI provider. Your messages, your business profile, relevant excerpts from your uploaded knowledge, and relevant library material are transmitted to Anthropic for processing so that a response can be generated. This is essential to the service; if you do not want your information processed this way, do not use A1 AI. Anthropic's handling of that data is governed by its own terms and policies.
Our human support and escalation. A1 AI can escalate a question it cannot answer to a human at A1 Media. When that happens, the relevant part of your question and context is delivered to A1 Media staff through our internal messaging system (Slack) so a person can respond.
Authorized A1 Media personnel. Our administrators can view the Member roster, your business profile, your usage statistics, and your full conversation transcripts, on a read-only basis, for support, quality review, billing and abuse investigation, and product improvement. Access is limited to accounts we designate as administrators.
Service providers. Companies that help us run the business, each with access limited to what their function requires:
| Provider | Purpose | What they receive |
|---|---|---|
| Anthropic | AI response generation | Conversation content, business profile, relevant excerpts |
| Our CRM and payment platform (GoHighLevel) and its payment processor | Billing, subscription status, payment processing | Email address, subscription and payment records |
| Our hosting and infrastructure providers | Running the servers that host A1 AI | Data stored on our servers; server logs |
| Slack | Internal support escalation and operational alerts | Escalated question content and context |
| Email delivery | Account and service emails | Email address, message content |
Legal and safety. We may disclose information if required by law, subpoena, or legal process, or where we believe disclosure is reasonably necessary to protect the rights, property, or safety of A1 Media, our Members, or the public, or to investigate fraud or a security incident.
Business transfer. If A1 Media is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will give notice if your information becomes subject to a materially different privacy policy.
Other Members. Never. Your business information, results, and identity are not disclosed to other Members. Our knowledge base and our assistant are configured not to surface one Member's confidential information to another.
6. Automated processing and AI
A1 AI generates responses using automated systems. Some routing and content decisions are made automatically. These automated decisions do not produce legal or similarly significant effects on you — they affect what marketing content the tool drafts, not access to credit, employment, housing, or similar.
Automated systems also enforce usage caps and may temporarily limit your requests when a cap is reached.
7. How long we keep information
- Account, profile, conversations, and uploads: kept while your account exists, so your history and context remain available to you.
- After cancellation: your account and its data remain until you ask us to delete them or until we close inactive accounts. Cancelling a subscription does not by itself delete your data.
- After deletion: when you request account deletion, we permanently remove your account record, business profile, conversations, uploaded files, knowledge entries, connection records, and usage records from our production systems. Residual copies may persist in encrypted backups for a limited period before being overwritten in the normal backup cycle.
- Billing and transaction records: retained as required for tax, accounting, and legal purposes even after account deletion.
- Security logs: retained for a limited period for abuse prevention and incident investigation.
8. Your choices and rights
Regardless of where you live, you may:
- Access the information in your account — your profile and conversation history are visible to you in the product;
- Correct your business profile and account details at any time in the product;
- Delete your account and content by emailing support@a1mediamarketing.com from your account email. We will confirm and then permanently delete it;
- Export — ask us for a copy of your business profile and conversation history;
- Disconnect any connected third-party account;
- Opt out of non-essential email. Service, billing, and security emails are part of having an account and cannot be opted out of while your account is open;
- Complain — contact us first at support@a1mediamarketing.com; residents of some states may also contact their state attorney general.
Depending on your state of residence, you may have additional statutory rights — including the rights to confirm whether we process your personal data, to obtain a copy of it, to correct or delete it, and to appeal a denial of a request. We extend the rights listed above to all Members regardless of state. We do not sell personal data and we do not process personal data for targeted advertising or profiling in furtherance of decisions producing legal or similarly significant effects.
To make a request, email support@a1mediamarketing.com from the address on your account. We will verify your identity by confirming control of that address, and we will respond within the time required by applicable law (generally within 45 days). If we deny a request, we will tell you why and how to appeal.
Authorized agents. You may use an authorized agent to submit a request; we will require proof of authorization and may require you to verify your identity directly.
9. Security
We protect Member information with measures including:
- passwords stored only as salted scrypt hashes, never in readable form, and never logged;
- encryption in transit (HTTPS/TLS) for all access to the product;
- per-Member data isolation — every database query is scoped to the requesting Member's account;
- authentication required for all product pages, with rate limiting on login and signup;
- administrative access limited to a designated allowlist of accounts;
- controls that prevent the assistant from retrieving or disclosing one Member's information to another;
- containment checks on file uploads and protections against server-side request forgery.
No system is perfectly secure. We cannot guarantee absolute security, and you are responsible for keeping your password confidential. If we become aware of a breach affecting your personal information, we will notify you as required by law.
10. Children
A1 AI is not directed to children and is for business use by adults. We do not knowingly collect personal information from anyone under 18. If we learn we have, we will delete it. Contact support@a1mediamarketing.com if you believe a minor has provided us information.
11. International users
A1 AI is offered from the United States and is intended for United States business users. If you access it from outside the United States, you understand that your information will be transferred to, stored in, and processed in the United States, where privacy laws may differ from those in your country.
12. Changes to this policy
We may update this policy. If we make a material change, we will notify you by email or in-product before it takes effect. The "Last updated" date above always reflects the current version. Continued use after the effective date means you accept the updated policy.
